Privacy Policy

This Privacy Policy explains how Atlantic Biomedical (“Atlantic Biomedical,” “we,” “us,” or “our”) collects, uses, shares, and protects personal information when you use our websites, client portal, field-service platform (Atlene), and related services (collectively, the “Services”).

1. Scope

This Policy applies to visitors of https://atlene.com, users of the Atlene application and client portal, customers and their authorized personnel, and anyone who contacts us or connects third-party services (including Intuit QuickBooks Online) to our platform.

This Policy does not apply to third-party websites, products, or services that we do not control, including Intuit QuickBooks Online itself. Those services are governed by their own privacy policies.

2. Who we are

3. Information we collect

We collect information in the following categories:

  • Account and profile information — name, email address, phone number, organization, role, login credentials, and authentication data.
  • Customer and facility information — facility names, addresses, contacts, service preferences, contracts, and related business records needed to deliver biomedical equipment service.
  • Service and operational data — tasks, preventive maintenance schedules, device and asset records, parts and inventory data, test results, certificates, photos, notes, dispatch and scheduling data, and communications related to service delivery.
  • Financial and billing information — invoices, estimates, payments, purchase orders, vendor records, and accounting metadata. When you connect QuickBooks Online, we may also process accounting data retrieved from or sent to your QuickBooks company file as described below.
  • Communications — emails, portal messages, support requests, and related attachments you send to us or that we process to provide service.
  • Device and usage data — IP address, browser type, device identifiers, approximate location derived from IP, pages viewed, referring URLs, and diagnostic or performance logs. For the offline-capable field app, we may also store operational data locally on your device until it syncs.
  • Cookies and similar technologies — session cookies, authentication cookies, and similar technologies used for security, preferences, and analytics.

We do not intentionally collect special categories of personal data such as health information about patients. Our Services are designed for equipment and facility operations. Please do not submit patient protected health information (PHI) unless we have a separate written agreement covering that processing.

4. Sources of information

  • Information you provide directly (forms, account setup, support, uploads).
  • Information your organization or administrators provide about authorized users and facilities.
  • Information generated through use of the Services (tasks, sync events, audit logs).
  • Information from connected third-party services you authorize, including Intuit QuickBooks Online, Google Workspace (email/Drive where enabled), and similar integrations.
  • Publicly available or commercially available business information, where permitted by law.

5. How we use information

We use personal information to:

  • Provide, operate, maintain, and improve the Services and customer support.
  • Authenticate users, secure accounts, and prevent fraud, abuse, and unauthorized access.
  • Schedule, dispatch, perform, document, and bill biomedical equipment service work.
  • Maintain audit-ready service histories, compliance records, and operational reporting.
  • Sync and reconcile business records with connected accounting systems, including QuickBooks Online (customers, invoices, estimates, payments, and related mappings), when you enable that integration.
  • Send service-related notices, security alerts, and (where permitted) product updates.
  • Comply with legal obligations, enforce our Terms of Service, and protect our rights and users.
  • Analyze aggregated or de-identified usage to improve reliability and product quality.

6. QuickBooks Online and Intuit integrations

If your organization connects Intuit QuickBooks Online to Atlene, we access and process QuickBooks data solely to provide the integration features you enable. Depending on configuration, this may include customer records, invoices, estimates, payments, and related accounting identifiers.

  • Authorization. Access is granted through Intuit’s OAuth process. You (or your administrator) control connection and disconnection.
  • Purpose limitation. We use QuickBooks data only to sync, display, create, update, or reconcile records needed for our Services — not to sell that data or use it for unrelated advertising.
  • Tokens and credentials. OAuth tokens and connection metadata are stored securely and used to maintain the integration. You may disconnect at any time in the application settings (or by revoking access in your Intuit account), after which we stop new API access.
  • Intuit’s role. Intuit is an independent controller of data within QuickBooks Online. Your use of QuickBooks is subject to Intuit’s terms and privacy policy. Intuit and QuickBooks are registered trademarks of Intuit Inc. Used with permission.
  • No Intuit endorsement. Connection to QuickBooks Online does not mean Intuit endorses Atlantic Biomedical or Atlene. We are a Member of the Intuit Developer Program where applicable; we are not an “Intuit Partner” or preferred/exclusive Intuit developer.

7. How we share information

We may share personal information with:

  • Service providers who process data on our behalf (hosting, databases, email delivery, error monitoring, analytics, authentication, and similar infrastructure), under contractual confidentiality and security obligations.
  • Integration partners you authorize, such as Intuit (QuickBooks Online) and Google, solely to perform the connected features.
  • Your organization — administrators and authorized users within your customer account may access information associated with that account.
  • Professional advisors and legal authorities when required by law, legal process, or to protect rights, safety, and security.
  • Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to appropriate confidentiality protections.

We do not sell personal information, and we do not share personal information for cross-context behavioral advertising as those terms are commonly defined under U.S. state privacy laws.

8. Retention

We retain personal information for as long as needed to provide the Services, meet contractual and regulatory recordkeeping requirements (including equipment service and compliance documentation), resolve disputes, and enforce our agreements. Retention periods vary by record type. When information is no longer needed, we delete or de-identify it in accordance with our retention practices, unless a longer period is required by law.

9. Security

We implement administrative, technical, and organizational measures designed to protect personal information, including encryption in transit, access controls, authentication, and monitoring. No method of transmission or storage is completely secure; we cannot guarantee absolute security. You are responsible for protecting account credentials and for configuring organizational access appropriately.

10. Offline and local storage

Atlene is designed to work offline. Operational data may be stored locally on a user’s device (for example, in browser storage or a local database) and synchronized when connectivity is restored. Users and organizations should secure devices that store Service data and follow their own device-management policies.

11. Cookies and similar technologies

We use cookies and similar technologies that are necessary for authentication, security, and core functionality. We may also use limited analytics cookies to understand how the Services are used. You can control cookies through your browser settings; disabling certain cookies may affect login or other features.

12. Children’s privacy

The Services are intended for business use by adults and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will take appropriate steps to delete it.

13. International transfers

We primarily operate in the United States. If you access the Services from outside the United States, your information may be transferred to and processed in the United States or other countries where we or our service providers operate. Those countries may have different data-protection laws than your jurisdiction.

14. Your privacy rights

Depending on your location, you may have rights to access, correct, delete, or obtain a copy of certain personal information; to object to or restrict certain processing; and to appeal a decision regarding a privacy request. To exercise these rights, email [email protected]. We may need to verify your identity and, where applicable, your authority to make the request on behalf of an organization.

If you are an authorized user of a customer organization, some requests may need to be handled by your organization’s administrator because we process that data on the organization’s behalf.

California and other U.S. state residents: we do not sell or share personal information for targeted advertising as defined by applicable state laws. You may still contact us to request access, deletion, or correction where those laws apply.

15. Changes to this Policy

We may update this Privacy Policy from time to time. The “Effective date” at the top of this page will be revised when changes are posted. Material changes may also be communicated through the Services or by email. Continued use of the Services after an update constitutes acceptance of the revised Policy, except where additional consent is required by law.
